How to Use Smart Columns to Automatically Create Custom Item ID on monday.com Board

Bring structure to your boards by auto-generating unique, customizable item identifiers.

Tracking and organizing items on monday.com can get messy, especially as boards grow and workflows expand. The default Item ID doesn’t always meet organizational or process-specific needs, making it difficult to group, reference, or manage data efficiently.

Why It Matters

Having a consistent, human-readable identifier (like PRJ-001, INV-2024, or TASK-0007) brings clarity and structure to your processes. It reduces ambiguity and simplifies sorting, filtering, and searching—especially helpful for workflows involving handoffs between departments or external tools.

Real-Life Use Cases

  • Project management: Auto-generate IDs like PRJ-001, PRJ-002 for easier task tracking
  • Inventory systems: Use structured product codes like ITEM-1001
  • Client workflows: Assign unique job or case numbers like CASE-2023-001
  • Sales & CRM: Combine customer codes and lead types for granular reporting
